Paralegal and Legal Operations Manager

We are seeking an experienced paralegal and legal operations professional to support contract management and other legal matters under the supervision of 25Madison attorneys. This position will play a critical role in supporting the operations and workflows of the legal functions of both 25Madison and our various incubations, including by organizing, managing, and coordinating execution of all administrative aspects of the pre- and post-contract signature process.

The ideal candidate will have a strong foundation in contract management, issue spotting, and legal ops best practices for small legal teams. This role requires a highly detail-oriented professional with excellent written communication, strong organizational judgment, a desire to learn, and the ability to take initiative and work independently on legal operations improvement projects.

What You'll Do:

  • Become familiar with 25Madison’s processes, templates, and playbooks well enough to identify issues, route questions appropriately, and identify areas for efficiency and improvement.
  • Be the primary point of contact for signatures, records, legal intake, and process-oriented questions, including tracking and sending out documents for review and signature.
  • Maintain an organized repository of contracts and corporate documents, and track key milestones with precision, including renewals, expirations, and amendments.
  • Maintain corporate records, entity filings and compliance calendars
  • Communicate and collaborate directly with 25Madison attorneys, outside counsel, internal investment and incubation teams to facilitate contract review, negotiation, workflow support, and other legal-related matters.
  • Act as a key point of contact for vendors regarding contractual obligations, escalating legal or business issues to 25Madison attorneys as appropriate.
  • Manage intake, tracking and lifecycle of software vendor engagements, including license and spend utilization reviews, renewals and contract negotiations
  • Partner with Operations, third-party IT service provider and Finance on vendor security review, onboarding and budget tracking

About You:

  • Excellent attention to detail – you know the importance of proofreading, accuracy, and consistency when reviewing contracts, emails, and other communications.
  • Must have a strong sense of urgency and be able to thrive in a fast-paced and demanding environment.
  • A problem-solver with sound judgment – you take ownership over answering questions sent your way, whether from the internal team, a founder, or a vendor, and you understand when attorney escalation is needed.
  • Curious and eager to learn – you believe technology can make workstreams better, help legal teams be more efficient, and allow us to better serve our stakeholders.
  • An organized and proactive project manager – you can manage multiple priorities, track details carefully, and set frameworks for executing them effectively within their deadlines.
  • Excellent written and verbal communication, including careful proofreading and clear issue summaries.
  • Minimum 3 years of experience in contract management, paralegal work, legal ops, or a related field.
  • Proficiency in Microsoft Office Suite and Slack. Comfort with Airtable, Carta, and AI tools is a strong plus, as is a desire to learn new legal technology.
  • Confident and able to interact with people at all levels of the organization.
  • Comfort with ambiguity, a willingness to ask thoughtful questions, and an ability to focus on details while understanding broader legal team priorities.

This hybrid position is located in New York, NY. Base compensation range: $115,000 to $125,000 annually.
